How to write a formal letter or e-mail in Polish: a model for the exam

Published 29 October 2026

You write a formal letter (list formalny) to an institution or someone you do not know: an office, a school, a bank, a director. You open with "Szanowni Państwo,", give your purpose in the first sentence ("zwracam się z prośbą o…"), then your questions or information in order, a request for a reply and "Z poważaniem" with your full name. You address the reader as "Państwo", "Pan", "Pani" with a third-person verb.

In short

  • Five parts: greeting, purpose in the first sentence, details and questions in order, a request for a reply, sign-off with your full name.
  • Register: "Państwo" rather than "wy", full forms, no exclamation marks or abbreviations.
  • In the state exam: at B1 — on 4 of the 14 papers in the library, as the short or the long text, 50–170 words; at B2 — on 3 of the 9 papers in the library, as the short or the long text, 50–160 words.

The regulation lists a "formal private letter" at B1 and B2, and at B2 also an official letter, a cover letter and an application. On the papers: an e-mail to an office asking for an offer's details, a report for a company director, a letter to a bank asking for support, the editors' reply to a reader's letter. Complaints have a post of their own: a complaint.

When does this form come up in the exam?

  • At B1 — on 4 of the 14 papers in the library, as the short or the long text, 50–170 words
  • At B2 — on 3 of the 9 papers in the library, as the short or the long text, 50–160 words

In the state exam's writing part you write two texts — a short one and a long one — from one of three sets to choose from, so you never have to pick this form. The paper prints three criteria for the whole part: task, range and accuracy — 30 points at B1 and 40 at B2 for both texts together. How that splits between the texts, the Commission does not publish. The whole writing part is described on writing.

How do you write a formal letter, step by step?

  1. Greeting: "Szanowni Państwo," or "Szanowna Pani Dyrektor," — with a comma, carrying on in lower case.
  2. Purpose in the first sentence: "Zwracam się z prośbą o…", "Piszę w sprawie…".
  3. Details: who you are, your situation, what you need; questions in order — "po pierwsze", "po drugie".
  4. A request for a reply and your contact: "Będę wdzięczna za szybką odpowiedź".
  5. Sign-off: "Z poważaniem" and your full name.

A model formal e-mail (140 words)

Jeśli tak, chętnie zrobię go w przyszłym tygodniu.

Będę wdzięczna za szybką odpowiedź. W razie pytań proszę o kontakt pod numerem 600 100 200.

Z poważaniem

Anna Kowalczyk

Purpose in the first sentence, questions in order, "Państwo" throughout and a full signature. The text is ours, not a paper's. The state exam's whole writing part is on writing in the state exam.
